How to Send an Email Settings Email
If someone would like to opt in, or re-opt in, to receive emails from the Y, staff members have the option to send members an 'email settings email'. This allows members to check their current subscription status to the different categories of communication.
To initiate the process of sending an email settings email follow the steps below:
- Select the Search icon to lookup the individual. User can search using the individual's name, member ID, date of birth, barcode, phone number, or email.
- Once located, select the member's name which will take you to the membership information page.
- Select the edit pencil next to the individual's email.
- Select the Send Email Settings Email button.
This sends an email to the email address on file where the member can click on the “Update Your Preferences” button. A new screen will open where members will see their current status for each of the communication categories via the “opt out” column. If the toggle is set to “no” it means the member is receiving those communications. If it is set to “yes” it means the member is not receiving those communications.
There is also a master toggle to opt out of all emails. If the member opens the link and they are already opted out of all communications, there will instead be a grey button that reads “Opt In + Restore Preferences” which will set them all to not opt out and allow further edits to be made.
Engage communication categories are as follows:
- Member Communications
- Program Information
- Child Care + Camp Information
- Giving
- Newsletters
- Special Events
- Account Updates
- Facility Updates
As a reminder, when you launch an initiative, the purpose of the communication is selected from one of the above categories.
