Daxko: Membership Upgrades and Downgrades

Policy: Members must submit their request for an upgrade or downgrade via our general support request form. Requests will be processed as soon as possible. Members must give 10 days’ notice for changes to take effect.


Procedure:


Upgrades for Monthly Memberships:

  1. Members' requests must be submitted in the general support form to capture a written request for the fee change.

    1. If in person at the Y, any member or membership staff person can help members complete the request form.

    2. All others should be completed by MSC staff and followed up with email confirmation of the new billing amount and effective date.

  2. To begin the Membership Upgrade, Search for the member by typing their Last, First Name into the search bar and Select the Members Name.

  3. On the left of the page, check to see if the Members being added are listed on the account.

    1. If they are: proceed to Step 4

    2. If they are not: Click the “+ Add Member” button and enter the information for the new Units. These will first be added as inactive units and you will be able to make them active with the package upgrade.

  4. At the top right of the Membership Information page, click the “Settings” button and select “Membership”

  5. Click on the “Membership Type” dropdown to select the new package > If needed, mark new members as “Active” under the New Status dropdown on the right  > Click Submit.

    1. We will not charge anything to process an upgrade - the new fee will apply with the next billing cycle.

  6. Once you arrive at the Membership Dues Setup page, the upgrade is complete. Use the breadcrumb trail at the top of the page to click on “Membership Information.” The new Membership Type will now be listed at the top of the Information page.

  7. For any new members, take their picture, and issue member cards. 

    1. To take a photo, click on the Member Unit and click the Camera Icon on the profile photo. Follow steps to take the photo.

    2. To issue a new member card, click on the barcode number under the member unit’s address and type in the new tag number. Click on Send barcode to share the number with the member via SMS or email.

  8. Ensure that the newly entered members and price of the membership are correct at the top right of the Membership Information page.

    1. Members: Has everyone been added to the membership?

    2. Price: Are they currently in a discount/subsidy group or do they have any recurring fees?


Downgrades for Monthly Memberships:

  1. Member’s request must be submitted in the Member Support Form and processed by a Membership Engagement Director, Call Center Agent or admin team member with permissions.

  2. On the Membership Information page, click the “Settings” button and select “Membership”

  3. Select the new membership type > If needed, mark members as Inactive > click Submit.

  4. Ensure the pricing and members are correct:

  1. Members: Are members aware that facility access will be denied to the members marked as inactive?

  2. Price: Are they currently in a discount/subsidy group or do they have any recurring fees?


Notes on Discount Groups and Recurring fees:

Discount Groups and Recurring Fees are maintained on the unit in the following scenarios:

  1. If the unit is changing from one membership type with recurring dues to another membership type with recurring dues. Discount group amounts will be recalculated for the new membership type. 

Discount Groups and Recurring Fees are lost in the following scenarios:

  1. If the home branch is changed. 

  2. If they are moving from a recurring membership type to a non-recurring (not auto-renewing) membership type. 

  3. If they are moving from a membership type that allows discounts to one that does not.
