Daxko: How to Set Up a Child Under 18 Membership

Policy

Families may choose to sign up a youth or teen for a membership in lieu of signing up the entire family. In order for this type of membership to be sold, a person over the age of 18 must be present and sign up for the membership. Under no circumstance should anyone under the age of 18 be authorized to setup a membership.


Procedure:


To Sell a New Youth Membership:

  1. Go to  Membership > Add Unit. 

  2. Select appropriate Branch and Youth/Teen membership type from the list.  

  3. Enter information of primary member on membership unit.  

  4. The primary member should always be an adult – even if selling a membership category for someone under the age of 18.  

  5. All information with * is required to move forward with the membership registration.

  6. If the primary should not be active (in the case of a youth or teen membership).

Note:  If duplicate check displays, select the proper match (if it is a true duplicate and the person is already in the system) OR select Continue Adding Member (if it is not a true match).

  1. Select YOUTH or TEEN to Add a Child, and enter the Youth’s information. 

  2. When all members have been added, click  Next – Proceed to Waiver and Setup Dues.

  3. To set up a billing method for EFT or Credit Card drafted memberships, do the following:

  1. The billing method will default to Invoice.  

  2. Click “Select Payment Method” to enter the necessary EFT or Credit Card information.  

  3. For checking account/savings account, click New Bank Draft:

  4. Use check/credit scanner, if available, or enter Name on Account,   Routing Number, and Account Number and then choose account type. 

  1. For Credit Card, select New Credit Card:

  1. Use check/credit scanner, if available, or enter in the card information manually.

  1. Select Draft Day if necessary.  It will automatically default for you, but you may change it at this time if requested by the member. 

  1. Once the membership billing method and cycle have been selected, add any applicable recurring fees or discount groups.

  2. Click Next. Select a Fitness Orientation day and time and hit “Book Appointment” or hit “Skip, I’ll Schedule this later” if the member is not able to schedule an orientation on the spot.


Note: If Cancel is selected instead of Submit, all previously entered member information will be lost, including name, address, etc. 

  1. Click Make a Payment. This will take you to the Balance Due Screen to make payment on everything owed today. To collect all payments due, you must verify that all payment items are selected prior to selecting the Make Payment Link.

  2. Double check that the primary adult member is marked as inactive. If you did not do this during the sales process, follow these steps:  From the Membership Information Screen > Click Member Actions > Edit Member Information > Active Member> Select No.

  3. If you forgot to apply a discount group, you can select More > Membership Dues > Add Discount Group > Apply appropriate Discount Group. Note: this will only apply the discount the next time membership dues are generated. It will not apply to any prorated or joiner fees. 

  4. Turn on Facility Access by hitting Settings> Facility Access> Check the box of the active member for either All Location Access or HAV/PLA Local Only> Hit Save.

  5. Provide a membership card to the member.
