Policy:
YMCA Staff receive a complimentary Y membership. This procedure explains how to set up a membership with an employee discount group, as well as how to remove the discount or cancel the membership when employment ends.
Procedure:
To complete a new staff membership:
Search for the staff member in Daxko Operations. If they are not in the system, enter their member information by clicking Membership > Add Unit.
Choose the appropriate Membership package requested by the employee.
Click the Add Discount Group button at the appropriate point in the join process.
Select the appropriate Employee Discount Group. Full-time staff receive the Staff - 100% discount group. Part-time staff receive either the “Staff - Upgrade Discount (Part Time Staff over 18)” or the “Staff - Child Under 18 Adjustment” depending on the staff member’s age. Fees will be adjusted according to the discount group chosen.
Complete the transaction and provide a membership card to staff member.
If staff no longer employed by the Y wish to continue their membership:
On the Membership Information screen, confirm that the member is in the appropriate membership type for the desired branch. If not, click the Edit Pencil and update their branch and membership type.
From the Membership Information screen, click the Financial drop down > Dues.
Select the trashcan icon next to the Staff Discount Group and click Remove.
If they qualify for other discounts, add in their new discount groups.
Confirm that their billing method is correct. If there is no billing method on file, add their preferred Credit Card or EFT billing method.
Note: Full price membership due will take effect the following month.
If staff wishes to cancel their membership:
On the Membership Information screen, click on the Status Edit Pencil.
Terminate the membership and choose the reason No Longer Employee.
