Discount Groups and Specialty Memberships

This document explains what discount groups are, how they function in Daxko, and a library of all of our current discount groups.

What is a Discount Group?


  • Discount Groups modify our regular membership prices.
  • Discount Groups may modify the price one time, for a limited period of time, or in perpetuity, depending on the type of discount.
  • Discount Groups are added to a membership, either during the enrollment process or to an existing membership.
  • Different types of Discount Groups can be applied and approved by different staff permissions. 


How to Apply a Discount Group

For a New Enrollment:

  • In most cases, Welcome Center staff can add any Discount Group to a membership, then it must be approved by a designated staff member to remain on the account going forward.

  • It’s up to YOU to ensure a person truly qualifies to receive the Discount Group before you add it, as it will automatically apply to today’s transaction! 

  • Your local Membership Sales Director and/or Central Sales Advisor will approve Discount Groups for go-forward application, if they are longer term discounts.

  • Our Association Finance team audits the use of Discount Groups to ensure proper application.


In the Membership Due Setup page, click ADD DISCOUNT GROUP.


This will pull up the entire list of available discount groups, which is long! The fastest way to locate a specific discount group, or to see if a discount group exists, is to use CTRL+F to quickly search a keyword.


Once you select the appropriate discount group, the discount will apply immediately to today’s transaction (in this case, removing the Joiner Fee), but any discounts that may apply to future payments (e.g. Corporate or Military discounts) must now be approved by a designated approver in order to remain on the account going forward.


For an Existing Member:

  • Open the member’s record and click into their membership billing information.
  • Click + ADD DISCOUNT GROUP
  • Find and select the Discount Group; click SUBMIT.


Review and Approval


Your application of the Discount Group then lands in the queue for the appropriate approver to review. The approval must be completed before the next draft in order to take effect for monthly membership drafts.

Specialty Membership Promotions

What is the discount?

Limited, time-bound/seasonal special offer to incentivize new membership joins. There are many types of special promotional offers, but the two most common are:

  • Waive the joiner fee

  • Waive the first prorated payment


How long is it good for?

Typically, promotional offers apply to just the first payment at the time of enrollment, unless otherwise noted in the description.


Who can add the discount group?

Any staff member.


Member Referral Discount Groups

What is the discount?

  1. Waived joiner fee for new members referred by an active
    member.

“Member Referral: New Member Joiner Waive”

  1. The referring member gets next month’s membership dues waived.

    “Member Referral: Referring Member Complimentary Month”


Who can add the Discount Group? 
Any YNS staff member.


How to waive the Joiner Fee:

  1. During enrollment, add the Discount Group “Member Referral: New Member Joiner Waive” which will automatically remove the joiner fee.
                NOTE: Your supervisor will be prompted to review 
                        this to ensure correct application.
  2. In the “How did you hear about us?” section, choose
    “Member” and enter the referring member’s name in the
    referral field: “Joe Smith (#123456)” 

                NOTE: For an existing non-member unit, make sure to edit 
                        Member Info > Member Engagement to capture the referring member!


How to add the complimentary month (done by discount group approver):

  1. When approving a referral discount group, open the new member’s Daxko unit and find the referring member (Joe Smith, in this case) under the Member Engagement section.

  1. Go to the referring member’s unit and edit their membership details to add Discount Group “Member Referral: Referring Member Complimentary Month” - this will automatically waive the next monthly fee that generates, then automatically expire.

  2. Email the referring member thanking them for the referral of [specific person] and letting them know next month’s dues are waived. (And welcome them to refer more in the future! There’s no limit.)


Military Discount

What is the discount?

This reduces monthly membership dues by 50% for active military, veterans and their immediate household.


How long is it good for?

Military Discounts do not expire.


Who can add the Discount Group? 
Any YNS staff member (after verifying military/veteran status).

What to Do:

  1. Confirm eligibility. Applicants must present photo ID, plus one of the following:

  • Military ID

  • DD214 (certificate of release from service)

  • LES – Leave Earning Statement (paycheck) from the Department of Defense

  • VA Health Care Card

  • In the case of deployed personnel, family members may present deployment orders.

  1. Apply the Discount Group “Military” to a new or existing membership.

Add a note to the account stating that you verified eligibility with documents listed above. Please do not photocopy military documents.


Corporate Discounts

What is the discount?

This reduces regular monthly membership dues by varying amounts for local businesses and organizations that we have a strategic partnership with.


How long is it good for?

Corporate Discounts are active as long as the member maintains employment with the organization. We occasionally audit Corporate Discount recipients to verify their continued employment.


Who can add the Discount Group? 
Any YNS staff member (after verifying employee status).

What to Do:

  1. Confirm the partnership by identifying the employer in this list.

  2. Confirm eligibility. Applicants must present business card, work email,
    offer letter, pay stub, etc. to verify employee status with one of the
    partners listed in the document above.

  3. Apply the corresponding Corporate Discount Group to a new or existing
    membership.

  4. Add a note to the account stating that you verified employment status.


Corner Stone Memberships

What is the discount?

A complimentary year of membership for:

  • Cancer survivors (and immediate household) who have been diagnosed with cancer in the last 5 years.

  • Those who have lost an immediate family member due to cancer in the last year.


NOTE: We would love to be able to provide free memberships beyond these guidelines, however the pervasiveness of cancer means that nearly everyone in our communities would qualify, and we simply cannot sustain it. We are so glad to do what we can, within these limits.


How long is it good for?

12 Months from the start of the membership. After this period, we welcome members to continue their membership with a 15% “Health Initiatives Graduate” discount. We are not able to offer repeat years of complimentary membership.


Corner Stone memberships are not eligible for holds.


Who can add the Discount Group?

Any YNS Staff Member, after the medical attestation form has been submitted.


What to Do:

  1. For initial inquiries: Activate a complimentary week guest pass while the prospective member completes a Health Attestation Form (healthcare provider signature is needed). 


  1. When form is complete, upload to their unit record and activate the membership with a Corner Stone discount group.

  2. Local Member Engagement Director will approve the discount group (the expiration date is automatically set to 1 year in the future) AND schedule a corresponding termination for 1 year in the future.


NOTE: Do not change the Next Process date. We want monthly fees to generate so that the discount group can reduce them to 0. This helps us account for the funds we’re giving away through this program.


Health Initiative Discount

What is the discount?

“Graduates” of our health initiative programming, like Corner Stone or Enhanced Fitness, receive an offer for 15% off continuing paid membership. We may add additional qualifying programs over time.


How long is it good for?

No expiration while membership remains active. If they cancel, they lose the discount.


Who can add the Discount Group?

Any YNS Staff Member, as long as you’ve confirmed their participation in one of these initiatives.


What to Do:

  1. Confirm past Corner Stone or Enhanced Fitness enrollment by looking at their unit history.

  2. Edit the membership details and add Health Initiative discount group.


Your local Membership Engagement Director will be prompted to review and approve the discount group before the next round of dues are generated.


Health Insurance Memberships

What is the discount?

Certain health insurance companies have contracted to pay for Y memberships for their members directly. Review this current list of covered plans which is also linked on the Membership Hub homepage.


How long is it good for?

There is no expiration date, but members must scan at least once
a month in order to keep their membership active. We send them
automated email reminders to scan if they go too long without visiting!


Who can add the Discount Group?

Association Admin Staff only

What to Do:

  1. Double check that this person’s health insurance plan is on the list of contracted providers.

  2. Activate a complimentary week guest pass and collect members’ insurance information by having them fill out this enrollment form.


Our Association Admin staff sets up the membership, alerts the member, and begins monthly invoicing.


Child Care Family Memberships

What is the discount?

While kids in our childcare programs automatically receive a complimentary “Youth Childcare Annual” membership, parents are invited to upgrade to a family membership with discount group “Childcare - Family Membership 50%” as a recognition of their investment in our community through the childcare program.


How long is it good for?

Families can receive the discount as long as their children are enrolled
in our childcare program.


Who can add the Discount Group?

Any YNS Staff; typically Childcare Admins and local Sales Directors or
Membership Operations Managers collaborate during childcare enrollment
season to appropriately update accounts.


What to Do:

  1. Verify that the child is currently enrolled in child care by reviewing the Daxko unit registrations.


UPGRADE the membership from Youth Childcare Annual to 1, 2, or 3 Adult Family, and add the “Childcare - Family Membership 50%” discount group.


Foster Care Memberships

What is the discount?

Through a state-wide YMCA partnership with the Wonderfund, we offer complimentary youth memberships to children in the foster system. At YNS, we also offer their foster families 50% off when they upgrade to a full family membership if they’d like to enjoy it with their foster child. 


Discount Groups:

  • “Foster Child - Wonderfund” (Free Under 18 membership for foster kids)            

  • “Foster Family” (50% off family membership)

How long is it good for?

This discount is valid for one year and can be renewed if the child is still in the Foster home.

Who can add the Discount Group?

Any YNS staff member, once you’ve verified eligibility.


What to Do:

  1. Verify the family is a Foster Family by viewing their Wonderfund Access Card.

  2. Add the appropriate discount group to their new or existing membership.

  3. Add a note to the account confirming you viewed their Access Card.

  4. Your local Sales Director will be prompted to review and approve the discount group.


Wonderfund Day Pass Access 


29 DCF offices have “Wonderfund Office Pass” access card that they will use during emergency removal situations where they are temporarily in the personal care of youth. During this transition time, a DCF staff person (typically a social worker) may use the card to visit the Y with a youth who is temporarily in their care, similar to our mentorship programs. 


All DCF staff understand that they must have a photo ID ready to present to the welcome desk staff.


What to Do:

  1. Visually verify the Wonderfund card and staff ID.

  2. Enter the DCF staff as a non-member in Daxko.

  3. Enroll in a complimentary 1-day guest pass, and choose Mentorship as the reason

  4. Have the staff sign the waiver and admit them into the facility.

  5. Put a note on the non-member unit that this individual visited the Y with the Wonderfund Office Pass.

 

DCF Memberships

What is the discount?

The Department of Children & Families pays in full for Y memberships
for certain youth or families in their caseload. 


How long is it good for?

DCF memberships are enrolled in 6 month segments, but may be
extended by DCF.

Who can add the Discount Group?

Association Admin Staff only


What to Do:

  1. DCF identifies a family or individual who would benefit from Y membership.

  2. DCF staff submits the enrollee’s name(s) and contact information into this request form, agreeing to be the payee for the party.

  3. YMCA association admin staff will confirm receipt of the request with the DCF contact, set up the membership, send an email to welcome the new member, and invoice DCF for the 6 month membership fee.

  4. Upon expiration, DCF may opt to be invoiced for an additional 6 months, otherwise the membership will expire.


Refugee Memberships

What is the discount?

A complimentary three month membership for refugees/asylum seekers while they get established.


Who can add the Discount Group?

Central Sales / Membership Engagement Directors / Super User


How long is it good for?

3 months


What to Do: 

  1. Welcome Center: hand-off to a Sales Director/Engagement Director OR enroll in a complimentary guest pass until your supervisor can follow up with the individual.

  2. Directors: Enroll in a membership using the “Refugee 3 Month Comp” discount group.

  3. Schedule a termination for 3 months in the future; do NOT change next process date.

  4. When this discount group pops up in your expiring list to review, reach out to the family to find out if they’d like to continue with a regular or Flex membership.


Resident Memberships

What is the discount?

Did you know we have over 500 YMCA residents? We offer a complimentary membership for each of them.


How long is it good for?

As long as the members are residents in a Y affordable housing location.


Who can add the Discount Group?

Membership Engagement Directors


What to Do:

  1. Add to primary and any household members to Daxko as a non-member unit and activate a free week of membership.

  2. Alert your local Membership Engagement Director that this resident would like to take advantage of membership.

Membership Engagement Director confirms current residency with local Housing Director, including verifying all names on the lease, and initiates the membership enrollment, adding the “Resident” discount group to remove the fee each month. NOTE: only individuals listed on the lease may be included on the membership.


Raffled Memberships

What is the discount?

A complimentary 3 or 6 month membership we have donated to a local community partner to raffle off. These are only good for NEW memberships, and may not be applied to existing memberships.


How long is it good for?

The membership length will be noted on the certificate, typically 1, 3, or 6 months.


Who can add the Discount Group?

Membership Engagement Directors


What to Do:

  1. Hand-off the enrollment to your local Membership Engagement Director (enroll in a complimentary day pass if s/he isn’t available in the moment).

  2. Sales Director: confirm that the certificate was authorized by a local Y or association leader; activate the membership, adding the Raffled Membership discount group, and immediately set the termination date to the corresponding date (1, 3 or 6 months out).

  3. When the discount group expiration/termination approach, reach out to the individual to see if they would like to continue with a regular drafting membership, or if they’d prefer to let it expire.


Staff Memberships

What is the discount?

  • “Staff - 100%”

    • PT staff qualify for a complimentary Adult/Under 18 membership for themselves.

    • FT staff qualify for a complimentary Family membership for their household.

  • “Staff - Upgrade Discount (Part Time Staff)” 

    • PT staff can upgrade to a Family membership, and this discount group reduces the fees by the value of the adult membership they would have received for free.


How long is it good for?

The membership discount is active as long as the employee works for the Y


Who can add the Discount Group?

Association HR Staff only set up the membership initially; Membership Engagement Managers can edit the membership in the case of a PT staff who requests to upgrade to the family membership.

  1. Edit the discount group to “Staff - Upgrade Discount (Part Time Staff)” 

  2. Transfer the unit to a Family membership.

Flexible Pricing

What is the discount?

This reduces regular monthly membership dues by a certain percentage based on income and household size, and must be pre-approved by the Central Membership team.


How long is it good for?

  • Flexible Pricing Discounts are good for 12 months. 

  • Recipients receive an email reminder to renew their application 60 days before expiration.

  • If they do not renew, their discount will expire and they’ll continue drafting at the full rate.

  • If their discount expires, they must reapply to receive an updated scholarship amount as their income or household may have changed.


Who can add the Discount Group? 

  • Any YNS staff member (only AFTER the Central Membership Team has set it up).

  • A note on the member's account will verify the % scholarship amount (make sure you’re looking at the most recent approval note, not a previous year). If an account does not have a note, ask them to verify their scholarships by showing their approval email from the Central Membership Team.
