Policy
New members should be entered directly into the Daxko software to enable their membership. A joiner fee and the pro-rated membership amount are due upon the initial setup of the membership. Manual adjustments to these amounts are not allowed. Any adjustments should be made via an approved promotional code or discount group.
Note that this procedure should be utilized for the following membership types:
Young Adult
Adult
1 Adult Family
2 Adult Family
3 Adult Family
2 Adults
3 Adults
Senior
Senior Couple
Procedure
To Sell a New Membership:
Begin by searching for an existing profile before adding as a new member. If no profile exists, proceed to step 2
Go to Membership > Member > Add Unit.
Select the appropriate membership type from the list.
Enter the information of the primary member on the membership unit and click Next.
The primary member should always be an adult – even if selling a membership category for someone under the age of 18.
All information with an asterisk (*) is required to move forward with the membership registration.
Note: If duplicate check displays, select the proper match (if it is a true duplicate and the person is already in the system) OR select Continue Adding Member (if it is not a true match).
If additional family members must be added, select the applicable age group(s).
When all members have been added, click Next.
Ensure the member agrees to the terms and conditions by signing their name in the name field and choosing I Agree. You can also skip and share agreements to the member’s email if you are unable to capture a signature at that time.
Setup the Membership Dues by selecting the appropriate billing cycle (1st or the 15th) and ensuring drafting is selected. Note that invoiced memberships are not allowed and this should not be selected for any reason.
Select any applicable Recurring Fees or Discount Groups.
Click Next to setup payment method information.
Note: If Cancel is selected instead of Next, all previously entered member information will be lost, including name, address, etc.
From the Select Payment Method dropdown, select the appropriate billing method.
For checking account/savings account, click New Bank Draft:
Use a check/credit scanner, if available, or enter Name on Account, Routing Number and Account Number then choose account type.
For Credit Card, select New Credit Card:
Use a check/credit scanner, if available, or enter in the card information manually.
Review the Summary of billing information along with fees due today to ensure all items are correct.
Select Next to submit the new membership unit. This will take you to the confirm page where you can select Make a Payment, Register for Programs or Go to Membership Information. To complete the new membership, select Make a Payment to be taken to the unit’s Account Balance screen and take payment for all fees due today.
To give new members access to the facility, Go to Settings>Facility Access>select all active members>then click Save.
If you forgot to add any family members, you can add them by clicking the Add Member link at the bottom left of the Membership Information Screen.
If you forgot to apply a discount group, you can select Financial > Membership Dues > Add Discount Group > Apply appropriate Discount Group.
Note: this will only apply the discount the next time membership dues are generated. It will not apply to any prorated or joiner fees.
